Management
Karen Miller, Director of Operations kmiller@convenepro.com
Karen Miller brings extensive medical and non-medical event management experience to the ConvenePro team. Prior to joining the ConvenePro, she was a conference coordinator for Creative Educational Concepts. Mrs. Miller has managed hundreds of medical education events including advisory boards, dinner meetings, half-day seminars, poster sessions, and speaker training sessions.
Before joining the staff at CEC, Mrs. Miller was the Director of Event Management for Wyncom, Inc. in Lexington, KY. She was responsible for the training and management of the event-planning department and supervised the planning of over 150 national meetings each year. Mrs. Miller joined Wyncom in 1999 as a program coordinator. In this position, she was responsible for the planning and on-site coordination of various seminars across the United States and Canada. Her seminar planning included such notable speakers as Dr. Stephen Covey, Dr. Tom Peters, Dr. Ken Blanchard, and Dr. Stephen Lundin. Mrs. Miller also holds experience in the fields of restaurant and hotel management.
As Director of Operations for ConvenePro, Mrs. Miller is responsible for management of day-to-day business operations and for employee training and development. She is also an integral part of maintaining client relations.
Aaron Smither, Account Director asmither@convenepro.com
Shortly after ConvenePro opened, Aaron Smither joined the team. With a background in Communication and Marketing, he received a B.A. in Corporate and Organizational Communication from Western Kentucky University, where he specialized in Public Speaking and Communication Rhetoric.
During his time with ConvenePro, Aaron has managed logistics across multiple projects and therapeutic areas. Aaron focused on developing strategic messaging, communication design, and implementing innovative recruitment and marketing strategies in compliance and adherence to PhRMA guidelines.
Currently, Aaron serves as Account Director. He focuses on overseeing daily logistics, process improvement, timeline and budget planning, business development, and reporting outcomes. Aaron has traveled extensively across the U.S. to serve as onsite program management, conduct messaging assessment, and program evaluation.
In addition to Aaron’s communication background, he also contributes knowledge in sales, training, recruitment, and human resources. He assists with developing, coordinating, and leading a dynamic annual training program. Outside of work, Aaron enjoys spending time with his fiancé, family, and friends. You may even hear him singing at the next wedding you attend.
Clinical Staff
Our Clinical Project team oversees comprehensive activities involved in program development and management, including creation of innovative educational and communications concepts, proposal development, client interactions/correspondence, all logistical planning/follow-through, analysis of activity outcomes, forecasting, and troubleshooting program direction. The members of this team have advanced degrees in the health-related field.

Account Manager
The Account Manager ensures precise execution of all programs. They manage all internal aspects of project development and execution. Our Account Managers will communicate with the client to ensure satisfaction in all aspects of project development and will provide timely and strategic communication to ensure clients always know the status of their projects. Clients can rest assured that our Account Managers are fully trained and knowledgeable in all medical, legal, and regulatory review requirements and processes.
Mid-Level Staff
Coordinators
Our Coordinators are the epitome of professionalism. The Conference Coordinators are here to serve you and make each program an overwhelming success. Our Conference Coordinators will ensure that each program runs smoothly, that each participant has the best experience possible, that all program materials and presentations are compliant, and that the client is pleased with the program execution.
Business Insights – Information Specialists
Information Specialists serve as the data collection and reporting center for ConvenePro and are critical to successful project development and completion. They work with the Account Manager to design the appropriate tools to collect data that meets the client’s objective for each project. Information Specialists maintain daily oversight of key metrics for success of projects and provide reporting to Senior Staff to ensure that project execution meets or exceeds client expectations.
Business Insights – Recruitment Specialists
Recruitment Specialists are ConvenePro’s cornerstone for delivering our clients’ message to the right audience, at the right time. They are responsible for facilitating the recruitment campaign for each project to ensure participation in client projects – from live dinner meetings and large satellite symposia to teleconferences and webcasts.
Compliance Officer
ConvenePro places a high value on regulatory and corporate compliance. All programming and communication developed and delivered by ConvenePro or on behalf of our clients is done so with regulatory compliance in mind. Our Compliance Officer ensures that all staff and partners associated with each project are appropriately trained on both PhRMA guidelines as well as individual corporate compliance requirements.
Support Staff
Administrative Assistants
The administrative assistants at ConvenePro serve as our “Directors of First Impressions” and are key to the ConvenePro customer service philosophy. They work to provide courteous and timely service to our clients, meeting participants, and coworkers.
Agency Partners
Information Technology/Network Support
The information technology/network support staff assists both the client and ConvenePro. They assist in developing website concepts, website maintenance and support, CD-ROM programming and production, as well network maintenance and support.
Graphic Arts Designer
Our graphic arts designersare responsible for designing or creating graphics to meet specific commercial or promotional needs, such as packaging, displays, logos, website graphics, handout design, or signage. They provide innovative designs, concepts, and sample layouts for print as well as web publishing.
Program Travelers
ConvenePro conducts hundreds of live dinner meetings each year with the help of our Program Travelers. Program Travelers are the “face” of ConvenePro on the ground and are trained to facilitate professional and compliant programs that adhere to all federal regulations and company policies. Program Travelers are the point people on-site for attendees, client representatives and expert faculty.
